Growing Sales Company Overcomes Legacy Accounting Software

Cargas Is Helping Mid Atlantic Machinery…

  • Unify accounting operations across multiple companies.
  • Implement advanced and streamlined reporting capabilities.
  • Reduce time spent on month-end close by 50%.

CHALLENGES

Legacy Software Impeding Growth and Productivity

Tyler Morgan, Senior Accountant at Mid Atlantic Machinery, knew something needed to change.

The company, which sells metal fabrication machinery, was enjoying significant growth but had surpassed the capabilities of its existing QuickBooks system. Managing transactions across seven different entities posed a significant challenge, and Morgan knew the team needed to upgrade to a more robust financial management system.

“We were running out of transactional storage,” said Morgan. “Every other week, we had to go in and consolidate our customers because we had maxed out the limit. With seven different companies, we had to log out of one and log into another—all with different logins. It was a VERY slow process.”

If grappling with the constraints of transactional storage wasn’t difficult enough, pulling required KPI (Key Performance Indicators) information each week was an additional challenge. The data had to be exported into Excel and manually manipulated—another time-consuming activity that added frustration. Morgan calculated that this process ate up multiple hours each week.

Time is money, and it was time to find a resolution to the chaos.

SOLUTIONS

Cloud Accounting Software to Bridge the Entity Gap

The Mid Atlantic team had connections to Cargas from a previous successful project, so they reached out to their contact to see what other options Cargas might be able to offer. After assessing Mid Atlantic’s current processes to uncover what was clogging up productivity, Cargas recommended a move to Sage Intacct.

Sage Intacct, a cloud accounting software and financial management solutions provider, delivers deep accounting capabilities across multiple industries, including payroll, real-time reporting, tax filings, and inventory tracking tools.

After learning more about the product, Morgan was convinced it could simplify and automate Mid Atlantic’s accounting and reporting processes to save them valuable time and provide better insights. And he knew Cargas had the expertise to bring his vision to life.

BENEFITS

Simplified Intercompany Transactions, Advanced Reporting Capabilities, and a Shorter Month-End Close

The Cargas team solved one of Mid Atlantic Machinery’s most significant challenges—managing intercompany transactions for multiple entities. Sage Intacct’s capabilities for unified accounting operations fit Mid Atlantic’s processes perfectly. With the new implementation, intercompany transactions have become virtually effortless—a seamless solution for managing transactions across seven entities. In addition, automated bank reconciliations have freed up more time for the finance team to focus on higher-value, more strategic activities.

Sage Intacct also offers improved reporting and business intelligence, enabling Mid Atlantic to create flexible custom reports. The team can now extract and analyze data based on any number of unique requirements, which was an option lacking with QuickBooks. No more labor-intensive, manual reporting processes that could only be implemented at specific times during the month.

Custom reports in Intacct are fantastic. We have a lot more flexibility where we can select almost any field and put it into a report.

—Tyler Morgan, Senior Accountant, Mid Atlantic Machinery

In addition, reports are now automated, scheduled more often, and generated in real-time as needed.

“Our entire management team was excited about the reporting capabilities that we provided to them. We schedule their reports to automatically send them an email every week or every month.”

As for having to use a different login for each of the seven entities? Problem solved. All companies can now be accessed with a single login.

The collective reduction in manual labor across all of the improvements saves multiple hours weekly. The finance team has taken advantage of their new-found time to focus on their closing process, which they’ve shortened from one month to just two weeks, allowing for quicker turnaround and more timely financial insights.

The switch to Sage Intacct for accounting has given new life to Mid Atlantic Machinery. The seamless implementation has not only addressed the team’s immediate challenges, but it has also positioned them for sustained growth with a modernized and efficient financial management system.

Managing multiple companies with a modern solution has saved time and reduced human errors. Relying on a trusted partner like Cargas accelerated the implementation process and provided the resources needed to get the project across the finish line.

The implementation of Cargas actually beat our expectations. We completed it in about five months, and we accomplished our goal of hitting year-end and starting fresh in the new year. We are extremely excited, and it didn’t feel like a business transaction at all. I truly felt like we were working with a collaborative partner.”
