Microsoft Dynamics GP 2018 New Features
Dynamics GP 2018 and 2018 R2 introduce powerful new features and capability enhancements across the product to optimize your daily processes. Dynamics GP 2018 increases collaboration and improves business analytics and reporting while deepening interoperability with other Microsoft products like Microsoft 365, Azure, and PowerBI. Dynamics GP 2018 offers extensive financials and distribution enhancements. Here’s everything you can find in GP 2018 and GP 2018 R2.

Financials Enhancements
- Specify whether a Monthly or Bi-Monthly recurring batch should end on the last day of the month in Payables, Receivables, and Inventory Management.
- ‘Post Through GL’ at the transaction level in several windows.
- Create Computer Check batches in any Payables Payment window and have the Checkbook ID default into the appropriate field in the Payables Batch Entry window.
- Choose to exclude ‘Inactive Checkbooks’ in the Checkbooks Lookup window.
- View the ‘Applied-To Document Number’ associated with Payments, Credit Memos, and Returns in the Purchasing All-In-One View window.
- See whether a vendor is on ‘Hold’ in these windows: Payables Vendor Inquiry, Payables Transaction Inquiry – Vendor, Purchasing All-in-One View, and Payables Transaction Entry Zoom.
- Retain ‘Ship-To-Address Name’ when modifying customers with the Customer Combiner and Modifier Utility.
- Prevent duplicate check numbers in the Bank Transaction Entry, Miscellaneous Checks, and the Payroll Manual Check-Adjustment Entry windows.
- View deposit amounts associated with unposted Sales Order Invoices and Orders via the new ‘Deposits on Unposted Sales Transactions’ SmartList.
- Manage inactive and reactivate master records for Accounts, Checkbooks, Customers, Sales People, Vendors, Employees, and Items from Navigation Lists.
Human Resource & Payroll Enhancements
- See new FICA totals on Payroll Check Register reports.
- Assign a ‘Start Date’ and/or an ‘End Date’ to Pay Codes in the Employee Maintenance window.
- Assign a shared Calendar Year maximum for groups of benefits and/or groups of deductions.
Workflow
- Use the new Sales Transaction Approval workflow to create approvals based on several conditions, such as whether a transaction exceeds the Customer Credit Limit.
Distribution Optimization
- Choose if you want to print the document in the Originating or Functional currency when printing documents from the Sales Order Transactions Navigation List.
- Print and email Sales Documents at the same time in three areas.
- Purchase a quantity less than what was initially requested in the Purchase Order Preview window when creating a Purchase Order from one or more Purchase Requisitions.
- Exclude items that do not have an on-hand quantity or value from the HITB report
- Select a range of sales documents by Document Date in the ‘Items’ drop-down list to filter items sold within a date range in the Sales Order Processing Item Inquiry,
- Choose if you want to email the Blank Paper or the Other form in the Purchase Order Entry and Purchase Order Inquiry Zoom windows.
- Email customer statements from Customer Maintenance Window.
System Enhancements
- The maximum user’s password length is increased from 15 to 21 characters.
- Receive a notification seven days in advance of your login password expiring.
- System Administrators can turn off Business Analyzer for the Home Page and/or Navigation lists at the system level via the System Preferences window.
- Hide Business Analyzer in Navigation Lists for all users and all lists
- SmartList Favorites created via SmartList Designer will now appear in the SmartList Favorites navigation lists.
- Through their Intelligent Edge and Intelligent Cloud services, Microsoft is now offering Dynamics GP users a Business Central cloud tenant to which they can sync their data. This allows Microsoft to invoke their Intelligent Cloud scenarios of Machine Learning, Power BI, Flow, and others to drive suggested actions. You’ll be able to access these insights using the Intelligent Cloud Insights tab added to your home page.

One Systems Manager Login
That’s right; you only need to enter your information once to access multiple system windows during an active session instead of logging in to each system window individually.
Expanded Document Attach Capabilities
Document Attach has been added to these transaction entry and inquiry windows:
- General Ledger Transaction Entry
- Receivables Transaction Entry
- Asset General Information (FA)
- Employee Inquiry
- I-9 Form
- Customer Inquiry
- Vendor Inquiry
- Project Inquiry
- PA Project Inquiry
In master record windows, you’ll find a new attach button next to the record ID fields instead of on the ribbon.
User Enhancements
- New sorting options make information easier to find. In the Receivables Transaction Inquiry window (both for Customer and Document), you can now sort by type, document number, document amount, amount remaining, and document date. In Payables Transaction Inquiry (both Vendor and Document), you can now sort by type, document number, original amount, unapplied amount, and document date. And in the Bank Reconciliation window, you can now sort by payment and deposit amount.
- New SmartList passwords restrict access to SmartList favorites, so editing capabilities are limited to those who know the password.
- The web client includes some handy new features, including a direct link to SmartList (for users who have access to SmartList) and the ability to recognize partial entries in fields (functionality already included in the desktop client).
Business Intelligence
OData now includes paging and filtering capabilities, and support is available for OData version 4. Microsoft is also planning to release a GP Content pack based on the GP 2018 OData service.
Financials
- You can now print a statement for a single customer from the Customer Inquiry window. The statement will use the format assigned in the Receivables Setup window.
- The Vendor Maintenance window includes new payment options to make payments on individual invoices or a single payment per vendor. The default setting will generate a single payment per vendor when building payment batches in the Build Payment Batch window.
- Once a payment batch has been created, you can save the settings to the Payment Option ID field in the Build Payment Batch window.
- In the User Access to Trx Dimensions window, you can select which users should have access to dimensions and copy the access settings from one user to another.
- The Payables Management Checks windows have been renamed according to the ability to manage payments through credit cards, electronic funds transfers, or potentially other methods.
Workflow 4.0
- Create new workflows more efficiently by copying steps from an existing workflow.
- Set reminder emails directly from a workflow to notify users if they have not completed an assigned workflow task within the allotted time.
- A new workflow history report offers more insight, with the ability to include workflow comments and filter by workflow type, approver, status, and approval date.
- New fields have been added to the Payables transaction workflow: vendor account, comment 1, comment 2, vendor class ID, and payment priority.
- Account descriptions can now be added to Purchase Order and Purchase Requisition workflow messages sent via email.
- The Vendor Approval workflow can now show fields for the bank a vendor uses for electronic funds transfers (EFT), including country, bank name, bank account, and SWIFT code.
- Use new workflows to manage the addition of general ledger accounts, purchase receipts, transactions, and purchasing invoices.
- Launch the general ledger account workflow from anywhere in GP for new accounts and accounts in a workflow state (like an account that has been edited but not approved).
To access the new fields on the Payables transaction and Vendor Approval workflows, mark the Extended fields list option in the Work Maintenance window and use the Workflow Condition editor to select the fields you want to see in each workflow.
Distribution & Supply Chain
- New purchase orders created using the Generate button in the Purchase Orders Preview window can now be displayed in the purchase order transactions list. The Generate button will automatically launch the PO Navigation List, displaying the newly generated purchase orders.
- If a purchase order is created from a requisition, the PO information will appear on the requisition list to confirm that the items have been ordered. The PO Number will also be displayed on the Procurement role center.
- You can now print a purchase requisition report from the Requisition Entry and Requisition List windows.
- A Hold status can now be displayed on transactions from the Sales Transaction Entry and Sales Transaction Inquiry Zoom windows. An icon will be displayed in the windows and can be selected to zoom into the sales process Hold window.
Human Resources & Payroll
- Roll changes down inactive employee records, including changes to pay codes, deductions, benefits, and shift codes.
- In the Posting Setup window in Payroll, select whether you’d like to print garnishment detail or summary reports when a pay run is completed. The default setting allows users to print garnishment reports when a pay run is completed.
- Users can now modify an existing department code, and the change will automatically apply to all tables that contain that department code, including History tables.
- Inactive records in lookup windows, including company and employee benefits and deductions, can now be restricted on a user basis.
